Job Description

 

Our client, Stonelotus Ventures, provides early stage businesses with funding, management and strategic support. The company works with passionate founders in high growth industries to create value through establishing systems and processes on which to excel growth. Reporting to the Managing Director, the Executive Assistant will handle and process all office administration duties for the Company. The successful candidate will excel in an entrepreneurial environment, with limited supervision. We require a candidate with good spoken and written English.
 
Key Responsibilities | Deliverables
 
  • Schedule meetings and appointments including arranging hospitality and logistics
  • Maintain the office and arrange necessary equipment, materials and repairs
  • Handle most HR duties and update / maintain office policies as necessary and manage the onboarding process for new hires
  • Organize office operations and procedures
  • Ensure that all items are invoiced, collected and paid on time
  • Manage contract and price negotiations with office vendors, service providers, office lease etc.
  • Manage office budget, ensure accurate and timely reporting and cooperate with outsourced legal and accounting as necessary
  • Support work permit and visas for expat directors
  • Support corporate secretarial work such as tax submission, company set up and bank account establishment and reporting
  • Provide general support to Company's clients and visitors
  • Plan in-house or off-site activities, like events, celebrations and conferences
  • Keep track of company and executive expenses and maintain bank accounts
Experience | Skill Requirements
 
  • University degree in Business Administration or related fields
  • At least 5 years of proven experience as an Office Manager or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in Microsoft: Word, Excel, PowerPoint & Outlook
  • Some basic experience in accounting software a plus (e.g. Xero)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills in both Thai and English
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
